Special Events Coordinator

Positon Overview:

The Special Events Coordinator (SEC) plans, organizes, coordinates, and facilitates events at the University of Evansville. The SEC also develops lines of business with external organizations (conferences, etc.) and individuals (weddings, etc.). The SEC is responsible for various logistical and operational tasks related to planning special events at UE. The SEC reports to the Director of Youth Programs in the division of Talent and Community.

Responsibilities:

Areas include but are not limited to: 

  1. Event planning and coordination 
  2. Logistics management 
  3. Budgeting and financial management 
  4. Marketing and promotion 
  5. Customer engagement 
  • Coordinates, and to a lesser degree, designs and oversees the logistical and high-level administrative support needs of multiple, complex, and widely distributed educational events, conferences, and other events. 
  • Attracts and develops various lines of business.  
  • Serves as principal source of information to staff, faculty, and external constituents on event activities. 
  • Initiates and collaborates with the marketing team to design various marketing materials. 
  • Coordinates conferences and requested services, including reserving campus spaces, providing information for catering needs, tracking various expenditures and revenues, collecting fees, and maintaining any necessary records 
  • Serves as liaison and maintains direct contact with personnel from various outside organizations and university departments associated with scheduled events. 
  • Collaborates and coordinates with support staff to deliver excellence.  

Qualifications:

Two to four years of related work experience or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.
