Administrative Assistant, Facilities Management

The University of Evansville is seeking a highly organized and customer-oriented Administrative Assistant for our Facilities Management and Planning department. This is a full-time position responsible for ensuring smooth office operations, managing campus key checkout, supporting critical administrative functions, and providing superior customer service.

Key Responsibilities:

- Visitor Assistance: Greet visitors, monitor visitor access, and respond to inquiries received in person, via telephone, and email.

- Key Management: Handle the day-to-day operation of campus key checkouts and returns, ensuring adherence to university policies with secure tracking of keys.

- Calendar Management: Assist in maintaining Facilities calendars and public folders, collaborating with the Office of Technology Services (OTS) to provide staff access.

- Invoice and Purchasing Support: Follow established processes for invoice approval, purchase order tracking, and support the purchase of office supplies. Ensure timely payment of invoices through Accounts Payable.

- General Administrative Support: Provide administrative support to the Assistant Vice President for Facilities Management and Campus Operations and the leadership team. Assist in special projects and other delegated tasks to ensure the success of university operations.

- Customer Service: Promote positive morale and teamwork by delivering exceptional customer service to students, faculty, staff, contractors, and visitors.

Qualifications:

- Education: High school diploma or equivalent is required. A minimum of two years of college or a combination of education, training, and experience providing the necessary skills for the position is preferred.

- Technical Skills: Intermediate proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

- Communication Skills: Strong interpersonal skills with excellent written and verbal communication abilities. Demonstrated experience in organizing and clarifying complex issues.

- Customer Service: A service-oriented approach with a commitment to high-quality results and relationship building in a multi-trade environment.

- Driver’s License: A valid driver's license with a clean driving record is required to operate university vehicles and equipment.

- Experience: Previous experience working with budgetary information, contracts, and agreements is preferred.
