Administrative Assistant for Departments of Math and Physics

The University of Evansville is seeking a dedicated and organized Administrative Assistant to provide comprehensive year-round support to the Departments of Mathematics and Physics, and additional support to the Departments of Biology and Chemistry during the summer. In addition, the position assists the Associate Provost, who is also a member of the Mathematics Department.

 Key Responsibilities Include:

  • Budget Management: Support through purchasing, budget transfers, internal reimbursements, and PCard (university credit card) reconciliation.
  • Administrative Support: Handle paperwork including purchase orders, check and petty cash requests, room reservations, interlibrary loans, and payment of invoices.
  • Scheduling: Coordinate meetings, appointments, and review sessions.
  • Event Management: Organize special events such as the Math Banquet and Summer Camp.
  • Recruitment Assistance: Support in recruiting math, actuarial science, statistics and data science, and physics majors.
  • Associate Provost Support: Assist the Associate Provost with clerical tasks, special projects, and assessment initiatives.
  • Office Management: Monitor office supplies, request desk copies of textbooks, and handle maintenance and technology requests.
  • Exam Scheduling: Arrange and proctor exams.
  • Tutor Coordination: Manage the scheduling of tutors for the Math Tutor Lab and assist with external tutor requests.
  • Visitor Assistance: Greet and assist visitors, manage inquiries, and direct them to the appropriate department or faculty.
  • Additional Faculty Support: Assist faculty with travel arrangements, meeting minutes, and reservations.

Qualifications:

  • Technical Proficiency: Competence in Microsoft Excel and web-based applications.
  • Interpersonal Skills: Strong communication and organizational abilities.
  • Team Player: Enthusiastic about working with young people and contributing to a dynamic academic environment.
