Administrative Assistant - Art

The University of Evansville is seeking a dedicated and organized Administrative Assistant to provide essential support to the Department of Art. This role is critical in ensuring smooth daily operations, assisting faculty and students, managing budgets, coordinating events, and supporting department initiatives.

Key Responsibilities

Administrative & Office Management:

  • Process paperwork, including purchase orders, budget transfers, reimbursements, check requests, and invoice payments.
  • Manage office supplies, request desk copies of textbooks, and handle maintenance or technology requests.
  • Coordinate meetings, appointments, and student advising assignments.
  • Provide student data, including tracking majors and minors within the department.

Financial & Budget Support:

  • Support faculty and staff with purchasing, PCard (University credit card) reconciliation, and financial reporting.
  • Assist with budget transfers and internal financial requests.

Event & Program Coordination:

  • Organize departmental events, receptions, and special exhibits.
  • Assist with the Hanns Pieper UE Employee Photography Exhibit, including publicity, intake, display setup, and reception planning.
  • Provide hands-on support for Chili Bowl fundraising, including cash handling and event assistance.

Gallery & Artist Management:

  • Assist with six artist exhibitions annually, including marketing, payment processing, contracts, and event coordination.
  • Maintain mailing lists for gallery postcards and marketing materials.

Faculty & Student Support:

  • Facilitate onboarding for new adjunct faculty, including HR coordination, IT requests, and textbook orders.
  • Recruit, schedule, and manage payroll for work-study students.
  • Handle payment arrangements for Marketing Intern, Gallery Assistant, and Efroymson Bridge Fellow.

Friends of Art Program:

  • Maintain membership reports and mailing lists.
  • Assist with financial records, workshop supplies, and program arrangements.

Qualifications & Skills

  • Technical Proficiency: Experience with Microsoft Office, database management, and web-based applications.
  • Organizational Excellence: Ability to multitask, prioritize, and manage multiple deadlines.
  • Strong Interpersonal Skills: Effective communication with faculty, students, visitors, and University departments.
  • Team Player: Enthusiastic about working with young artists and contributing to a dynamic academic environment.

Position Details

  • Employment Type: 30 hours per week, 42 weeks per year, summer off with limited hours and pay if necessary
  • Start Date: As soon as possible
