Administrative Assistant - Biology

The University of Evansville is seeking a highly organized and proactive Administrative Assistant to support the Department of Biology. Key Responsibilities

Administrative & Office Support:

  • Serve as the principal receptionist, handling inquiries from students, faculty, visitors, and external agencies.
  • Type correspondence, syllabi, forms, and other materials.
  • Reserve rooms, set up tours, and coordinate special events.
  • Sort and distribute mail, process lab orders, and maintain departmental records.
  • Assist with faculty appointments, proctor exams, and make travel arrangements.

Financial & Budget Management:

  • Act as the PCard Coordinator, maintaining and reconciling departmental budget records.
  • Process and track purchase orders and lab supply orders, ensuring timely delivery for teaching and research.
  • Negotiate pricing and orders with various science vendors.

Student & Faculty Support:

  • Assist with student inquiries, prospective student visits, and faculty-student research facilitation.
  • Support the recruitment and retention of Biology majors.
  • Train and supervise student workers, monitor timecards, and ensure proper payment.
  • Maintain area databases (e.g., prospective students, alumni records).
  • Submit semester classes online and assist faculty with scheduling needs.

Departmental Communications & Social Media:

  • Announce departmental activities and achievements on social media.
  • Ensure timely updates on events and departmental news.

Qualifications & Skills

  • Education: High school diploma or GED required; an associate degree preferred.
  • Technical Proficiency: Strong skills in Microsoft Office, database management, and web-based applications.
  • Administrative Expertise: Experience with budget tracking, purchasing, and scheduling.
  • Interpersonal Skills: Strong communication, customer service, and organizational skills.
  • Ability to Multi-Task: Must work independently, handle multiple priorities, and maintain attention to detail.
  • Physical Requirements: Some lifting of office supplies and extended periods of computer work.

Work Schedule & Additional Information

Hours: 6 hours/day, Monday–Friday

8:00 AM – 12:00 PM and 1:00 PM – 3:00 PM

  • Occasional overtime for emergencies or special events.
  • Reports directly to the Department Chair and works closely with faculty, staff, and student workers.
